Signature Build Properties Ltd ("we", "our", "us") respects your privacy and is committed to protecting the personal information we hold about you. This Privacy Policy explains how we collect, use and protect your information in compliance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. Information We Collect

When you use our website contact form, we may collect the following personal data:

  • Full name
  • Email address
  • Phone number
  • Any additional information you choose to provide in your message

We also hold property address information obtained from public planning registers. Section 9 explains this separately.

2. How We Use Your Information

We use the information from our contact form to:

  • Respond to your enquiry about our services
  • Provide you with relevant information about Signature Build Properties Ltd
  • Contact you regarding projects or services you may be interested in

We do not sell or share your information with third parties for marketing purposes.

3. Where Your Data Is Stored

Your data is securely stored in our Outlook email account (Microsoft). Microsoft provides secure data storage in compliance with UK GDPR and international standards.

4. How Long We Keep Your Data

We retain your personal data only for as long as necessary to fulfil the purpose it was collected for, which is handling your enquiry or project related communication. After this period we delete your data unless we are legally required to keep it longer.

5. Your Rights

Under UK GDPR you have the right to:

  • Request access to the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data, known as the right to be forgotten
  • Object to us using your data where we rely on legitimate interests, including for marketing by post
  • Complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113

7. Security of Your Data

We take reasonable technical and organisational measures to protect your data from loss, misuse or unauthorised access. However, no system is completely secure and we cannot guarantee absolute security of your data.

8. Updates to This Policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page with a revised last updated date.

9. Marketing Letters Sent Using Public Planning Register Information

Separately from our website contact form, we write to property owners who have recently been granted planning permission. If you have received a letter from us, this section explains where your details came from and what to do if you would rather we did not write again.

Where we got your address

From the statutory public planning register of your local council. We use the registers for the London Boroughs of Richmond upon Thames, Hillingdon, Ealing and Hounslow. Councils are required by law to publish these registers and they are open to anyone.

What we hold

The property address, the planning application reference, the description of the approved works as written on the register, and the decision date.

We do not record the names of individual applicants. We address our letters to "The Homeowner" or "The Property Owner". We do not collect or use email addresses or telephone numbers from planning registers, and we will never email or telephone you on the basis of this information.

We do not download, copy or reuse any drawings or plans from a planning register.

Why we use it, and our lawful basis

Our purpose is to offer our building services to people who have just received planning permission and may be looking for a builder.

Our lawful basis is legitimate interests, UK GDPR Article 6(1)(f). Our interest is in marketing our services to a relevant local audience. We have balanced that against your interests and rights, and to keep the impact low we limit ourselves as follows:

  • We write by post only
  • We do not hold your name
  • We write to any one address a maximum of two times ever
  • We act on any objection immediately

How long we keep it

We keep the property address on a permanent do not contact list. This is deliberate. It is the only way we can be certain we do not write to the same address again, and it means we hold less information about you over time, not more. The planning application details are deleted once the mailing is complete.

Who we share it with

Only the postal fulfilment provider that prints and posts the letter, acting on our instructions and unable to use the information for anything else. We do not sell, rent or share this information with any other business.

How to stop us writing to you

Any one of these, and we will add your address to our permanent do not contact list straight away:

You do not need to give a reason. Under UK GDPR Article 21 your right to object to direct marketing is absolute and we must stop.

Your other rights

The rights in section 5 apply to this information too. You can ask what we hold about your address, ask us to correct it, or ask us to delete it. If you ask us to delete it entirely rather than suppress it we will do so, but we will no longer be able to recognise the address as one we should not write to.
